Position Title: Fleet and Safety Specialist

Department: HR

Reports To: VP of HR

 

Vermeer Great Plains – 100% EMPLOYEE-OWNED COMPANY

An authorized distributor for Vermeer equipment in Kansas, Oklahoma, and Western Missouri with five branch locations across the region.  A 100% employee-owned company, we provide dedicated sales, rentals, parts, and service support for customers in the tree care, landscaping, wood waste, organic recycling, underground construction, and mining industries. 

 

POSITION FUNCTION:

The Fleet and Safety Specialist is responsible for ensuring safety and compliance standards are properly conducted and maintained for company vehicles and will assist with mitigating risk at our facilities.

 

ESSENTIAL PERFORMANCE RESPONSIBILITIES:

 

  • Collaborate with VP of HR to ensure all company vehicles and equipment are compliant with DOT and local government rules and regulations
  • Responsible for diligently coordinating and facilitating the Random Drug Testing program for DOT employees, ensuring timely and compliant scheduling, monitoring, and documentation of all required screenings, and adherence to regulatory guidelines
    • Partnership and communication with VP of HR is essential during this process
  • Ensure all required DOT employee driving and time logs adhere to regulatory requirements
  • Provide proactive and positive communication to ensure compliance and efficiency in the log management process
  • Review Driver Report to ensure compliance with DL, MVR, and Medical expiration dates
  • Maintain driver’s files to include driver renewals, new drivers and terminated drivers
  • Keep a record of all mechanical invoices including: oil changes, tire changes, engine repairs, windshield repairs, etc.
  • Schedule and conduct driver training to include general rules and regulations, Samsara, DOT, etc.
  • Point of contact for all employees’ DOT and driver related matters
  • Consult with the DOT Compliance vendor, as needed
  • Process and maintain CMV and IRP registrations, insurance coverages, and K-Tags
  • Renew and uphold dealer and sales tax licenses, oversee any related and ongoing statutory requirements
  • Manage inventory of dealer hauler and trailer tags
  • Submit quarterly IFTA tax returns and monthly KS and MO dealer sales reports
  • Conduct weekly audits utilizing fleet management and tracking software to ensure compliance and productivity of drivers and company vehicles
  • Conduct routine safety inspections at all VGP locations
  • Lead the oversight and continuous improvement of safety and DOT compliance through Kaizen project management, focusing on proactive risk reduction, process optimization, and employee engagement to ensure long-term operational excellence
  • Stay current with the latest trends, standards, and skills required within your field and industry by continuously developing through your Individual Development Plans, etc.
  • Follow all safety rules and regulations while performing work assignments and adheres to all policies and procedures as specified in Employee Handbook
  • Other duties as assigned

Measure of success determined by established company guidelines, including but not limited to the ability to successfully perform the above-mentioned functions, ability to take guidance and direction from Manager professionally, and execute upon such feedback.

Qualifications

KNOWLEDGE, SKILLS AND ABILITIES:

  • Must be committed to and take a pro-active approach to our Company Mission, Vision and Values
  • Strong PC proficiency with MS Windows and MS Office Suite, IntelliDealer a plus
  • High degree of customer service to both internal and external customers
  • In-depth knowledge of DOT regulations, including FMCSA rules
  • Ability to conduct yourself in a professional, ethical and reliable manner
  • Strong verbal and written communication skills in order to communicate professionally, respectfully and honestly at all times
  • Demonstrated ability to manage multiple tasks and maintain the necessary attention to detail
  • Highly organized with strong analytical skills
  • Ability to act with integrity, professionalism, and confidentiality (especially when handling confidential and non-routine information)
  • Strong initiative and ability to work independently as well as being respectful, approachable and team oriented
  • Ability to travel to all stores, trainings, and events as needed (up to 50% travel)

QUALIFICATIONS:

  • Bachelor degree in Occupational Safety, Health and Environment, Business Administration, or related field, and 3 years of experience in same/similar role and responsibilities; or equivalent combination of education and experience required
  • Must have a valid unrestricted Driver’s License and ability to maintain one throughout employment
  • Background check, pre-employment drug testing and clean driving record required
