Associate Event Producer

Our Opportunity

GPJ is hiring an Associate Producer to join our growing team.

This role is hybrid, requiring you to report on-site to one of the following office locations a minimum of 2 days/week: Los Angeles or San Francisco.

Your Role

In your key support role, you provide administrative support, drive pre-production, handle onsite delivery, and offer general aid whenever needed. You actively participate in client meetings, taking notes and documenting action items, ensuring everyone is clear on the next steps. You also manage your own small events, overseeing all production aspects from client communication, budget, operations, creative, and production.

You're responsible for creating event documents for medium-sized events or managing specific components of event documentation for larger events, ensuring all details are well-organized and accurate. You regularly report on your responsibilities within the team and externally when needed, maintaining transparency and clear communication. You research, source, and assess venues, preparing options for presentation and assisting with venue selection alongside the project lead.

When it comes to budgets, you help prepare budgets for larger events and independently create budgets for smaller events. You lead the project closure and reconciliation process, efficiently tying up all loose ends. You foster creativity by developing mood boards and proposing styling solutions to enhance event visuals. You're also engaged in creatively developing event experiences, ensuring each one stands out as unique and memorable.

You supervise events within the budget range of less than $500k. You contribute to crafting pitch responses for various event aspects, including creative, budgeting, venue sourcing, and solutions, which are vital for securing new projects for the department. Finally, you create event case studies showcasing your team's Special Events offerings, which serve as valuable tools.

Your Skills

  • Assist in building budgets / estimates and reconciling post event
  • Manage costs relating to medium event budget (
  • Ability to design a basic floor plan (for technical staff to draw up)
  • Ability to read, understand and produce basic production schedules / cue scripts / show scripts
  • Ability to understand and produce basic risk assessments and the process to develop these for events
  • Ability to take on ownership areas in a project and deliver these as required in a timely manner
  • Show initiative to report up to the project lead / manager on areas of ownership
  • Show initiative in taking on more areas of larger ownership areas on a project
  • Ability to produce a supervised event (
  • Proficient in Microsoft Office software including PowerPoint, Word, Excel, Outlook
  • Proficient with current software tools used in general business practice including WebEx, Smartsheet, Google Drive and associated programs

    Your Experience

    Experience & Education

    • 2-5 years of industry experience
    • 4 Year College Degree desired.

    Travel & Mobility

    • Ability to travel as required
    • Ability to work irregular hours in addition to normal business hours, to include nights, weekends and holidays as needed

    Salary Range: $75k+

    Salary is dependent on a variety of factors including (but not limited to) experience, skills, and location.
