What we are looking for

We are looking for a dedicated Executive Assistant to support our Business Unit Director (BUD) who leads our Renewable Energy Business Unit. You need to be detail-oriented, have strong organizational skills, and excellent communication skills. You need to be professional and maintain confidentiality. This is an "in-office" position at our Long Beach office 5 days/week.

How you can make an impact

  • Provide comprehensive administrative and secretarial support to the Business Unit Director (BUD), including managing correspondence, answering calls, sorting mail, responding to emails, setting appointments, and maintaining calendars and files.
  • Update and maintain the “day file” of all correspondence.
  • Disseminate information to business unit staff including preparing newsletter content and presentation materials for training sessions.
  • Arrange travel schedules, flights, events, and accommodations.
  • Manage the BUD's calendar, travel schedules, timesheets, and expense reports.
  • Coordinate with the Office Services Management team, Administrative team and SCS Energy staff as needed for lunches and dinners, meetings, conferences, client visits, and conference calls.
  • Prepare and review memos, reports, and presentations.
  • Support business unit strategic initiatives and coordinate staff deliverables.
  • Interface with HR and handle confidential information.
  • Coordinate off-site meetings and events.
  • Ensure timely relay of requests and information in the BUD's absence.
  • Take and distribute meeting minutes and dictation notes.
  • Process documents, research sources, and prepare moderately complex reports.
  • Handle special projects as assigned.

Qualifications

  • AA degree preferred.
  • Minimum of 5 years of executive assistant experience required.
  • Ability to be in the Long Beach office 5 days per week.
  • Excellent Microsoft Office skills required.
  • Ability to type 70+ WPM
  • Proficient in basic accounting.
  • Excellent communication, grammar, composition, and spelling skills.
  • Valid driver’s license with a driving record in good standing.

Pay Range

USD $78,000.00 - USD $95,000.00 /Yr.
