Estimating & Administrative Support Specialist

We are looking to add a talented Estimating & Administrative Support Specialist to our team in Eugene. The Estimating & Administrative Support Specialist supports our TSD construction and engineering teams. This role combines estimating support with administrative responsibilities to ensure smooth operations during project planning, bidding, and execution.

KEY RESPONSIBILITIES
Estimating Support
- Assist estimators in preparing and organizing bid proposals and cost estimates
- Review plans, specifications, and bid documents to compile quantity takeoffs and data
- Request and track subcontractor and vendor quotes
- Maintain and update estimating databases and project files
- Help coordinate pre-bid meetings and follow-up communications
- Other duties as assigned
Administrative Duties
- Provide general administrative support to project managers, estimators, and field staff
- Manage document control, including contracts, RFPs, RFIs, and submittals
- Assist with scheduling meetings, maintaining calendars, and preparing meeting materials
- Support project tracking and reporting using spreadsheets, project management software, or internal systems
- Prepare and distribute internal communications, reports, and documentation as needed
- Other duties as assigned
REQUIREMENTS
- High school diploma or equivalent required; associate's or bachelor's degree in Construction Management, Engineering, Business, or related field preferred
- 2+ years of administrative experience in a construction, engineering, or technical environment
- Familiarity with construction documents, estimating processes, and industry terminology
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent communication, organization, and time-management skills
- Ability to prioritize tasks, meet deadlines, and work independently or as part of a team
WORK ENVIRONMENT
- Office-based with occasional visits to job sites or pre-bid meetings (as needed)
- Standard business hours with flexibility for project deadlines
