PRINCIPAL OBJECTIVES OF THE POSITION
The Office Coordinator is often the first contact our clients have with Scott Insurance. This position is an ambassador for the Scott brand. The Office Coordinator has a variety of essential responsibilities that help the office run smoothly.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Manage the day-to-day functions of the office including welcoming and directing visitors, purchasing supplies, overseeing the conference room equipment and schedule, and arranging office equipment repairs and maintenance.
- Monitor security system (RING) to identify visitors before entry into office area.
- Assist leadership in ensuring that the office is organized and running effectively.
- Coordinate with Human Resources, IT, and managers to assist new hires in the office, provide computer and telephone orientation, supplies, and office introductions.
- Perform general administrative duties including filing/scanning, answering the telephones, preparing reports and spreadsheets as needed, processing expense reports, and general bookkeeping responsibilities.
- Prepare incoming mail for scanning and routing to appropriate parties and prepare outgoing mail for postal/vendor pickup.
- Serve as a liaison with building management to notify employees of pertinent information regarding office building.
- Notify employees of delays and closings via Agility Alert system.
- Act as the office 'Good Will Ambassador', helping to maintain Scott's culture by assisting with charitable giving, service projects, various committees, luncheons, Owner Appreciation Day events, and wellness campaigns.
- Perform other duties as assigned.
POSITION QUALIFICATIONS AND REQUIREMENTS
- High School diploma required.
- Exceptional customer service skills when answering, screening, or forwarding calls and providing information.
- Ability to manage the day-to-day operations of a Scott office efficiently, effectively, and with a positive attitude.
- Proficiency in Word, Excel, and PowerPoint.
- Outstanding communication skills.
- Provide exemplary support to the Scott team in a manner consistent with Scott values.
- Must be detail-oriented and have superior interpersonal skills.
- Must be able to obtain state-issued Notary certificate.
