Role Overview: The Administrative and Accounts Payable Assistant supports Project Management teams & Leadership with administrative, accounting, and general office duties.

Roles and Responsibilities: include but are not limited to the following. Other duties may be assigned as needed.

Accounts Payable Duties

  • Enter all unapproved invoices into accounting software
  • Ensure timely coding and approvals for all invoices
  • Enter coding into accounting software, upload invoices for final approval and payment
  • Monitor incoming account statements


Administrative Duties

  • Assist with project document management (scanning, filing, SharePoint…)
  • Greet visitors and guests; connect them with the appropriate person as needed
  • Assist with mail, delivery & courier. Sort incoming mail and deliver to appropriate department or individual, process outgoing mail and packages
  • Answer, screen, and direct incoming telephone calls. Answer questions about the organization and provide callers with address, directions, fax numbers, and other miscellaneous company information
  • Perform or facilitate maintenance of office equipment including cleaning, maintenance, and repairs
  • Maintain inventory and organization of office and kitchen supplies; order new supplies as needed
  • Keep conference rooms tidy and clean tables as needed
  • Assist superintendents with job site needs (hotels, air travel, car rentals, living accommodations, site office supplies…)
  • Assist Project Coordinators as needed (filing, sorting, making labels, etc.)
  • Ordering food for meetings & events
  • Working knowledge of Excel, Word & Outlook
  • Other duties as assigned

Work Environment/Physical Demands

  • The noise level in the work environment is usually moderate.
  • While performing the duties of this job, the employee is regularly required to speak and hear.
  • The employee is frequently required to stand; walk; sit; bend; use hands to finger, handle, or feel and reach with hands and arms. Light lifting may be required up to 15 pounds.


Qualifications/Computer Skills

  • Ability to clearly speak, read, write and understand the English language.
  • Ability to read and determine mailing labels, addresses and other postal instructions.
  • To perform this job successfully, an individual should have the ability to perform basic functions in Microsoft Word and Excel, use Microsoft Outlook, and learn various company software.


Education And/or Experience

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
