Roles & Responsibilities
The Shipping & Receiving Manager leads inbound and outbound material flow to support Baker Electric’s field operations, prefab production, and warehouse replenishment. This role ensures materials, tools, and equipment are received accurately, staged efficiently, shipped on time, and tracked properly across systems, while maintaining a safe, organized counter and yard and delivering top support field and office support.
Core Responsibilities
1) Inbound Receiving & Put-Away
- Manage daily receiving operations for all inbound shipments (vendors, transfers, returns).
- Manage team that verifies quantity, condition, and specifications against purchase orders, packing slips, and delivery documents.
- Ensure timely and accurate system transactions (receipts, discrepancies, holds).
- Manage team that coordinates put-away, labeling, bin location assignment, and storage standards.
- Lead resolution of receiving exceptions (shortages, overages, damage, wrong items, back orders), escalating to Procurement as needed.
- Work with Warehouse Manager to enforce dock scheduling and appointment standards to reduce congestion and improve turnaround.
2) Inventory Accuracy & Control (Shipping/Receiving Scope)
- Maintain inventory accuracy by enforcing clean transactions and disciplined material handling.
- Monitor and manage “problem inventory” (damaged goods, nonconforming items, quarantined stock, returns).
- Support cycle counts, root-cause analysis, and corrective actions tied to receiving/shipping processes.
- Ensure proper labeling, barcoding (if applicable), and location discipline for fast retrieval and reliable counts.
- Partner with Warehouse Manager and Procurement to improve inventory integrity and reduce shrink/obsolescence.
3) Returns, Warranty, and RMA Handling
- Manage the returns process from jobsites, service vehicles, and internal departments (restock, repair, scrap).
- Coordinate warranty/RMA claims with vendors and Procurement.
- Track credits and ensure documentation supports recovery of cost.
- Establish consistent triage: restock vs. repair vs. scrap, with clear disposition and approvals.
4) Team Leadership & Workforce Management
- Lead, coach, and develop shipping/receiving staff (receivers and shippers).
- Set daily priorities, allocate labor, and manage shift coverage for peak periods.
- Establish standard work, training plans, and performance expectations.
- Conduct safety talks, skills development (, load securement), and cross-training.
5) Process Improvement & Operational Excellence
- Identify bottlenecks in receiving, staging, picking, and shipping workflows; implement improvements.
- Track key metrics and lead root-cause problem solving for recurring issues.
- Improve layout, dock utilization, staging discipline, and material flow for speed and accuracy.
- Drive standardization across projects (labels, kitting, staging rules, delivery windows).
6) Systems, Reporting & Communication
- Ensure accurate use of ERP/WMS transactions (receipts, shipments, transfers, adjustments per policy).
- Maintain shipping documentation and traceability (BOLs, packing lists, proof of delivery).
- Provide daily/weekly status updates: inbound backlog, outbound readiness, exceptions, and delivery performance.
- Partner with Procurement, Prefab, Warehouse leadership, and Project teams to align priorities and resolve constraints.

- Warehouse Manager (alignment on staffing, priorities, space, and standards)
- Procurement (PO issues, vendor compliance, credits, RMAs)
- Prefab (kitting, staging, scheduling, material readiness)
- Project Teams / Field Ops (delivery windows, site constraints, shortage resolution)
- Operational Excellence (process improvement and standard work)
Multi‑Site Leadership & People Management
- Provide direct leadership to Shipping & Receiving team members across Escondido Warehouse, Santa Fe Springs Warehouse, and the Prefab Warehouse.
- Establish consistent operating standards, expectations, and accountability across all locations.
- Conduct daily check-ins with site leads and/or teams to review:
- Inbound and outbound priorities
- Staffing and coverage
- Exceptions, shortages, or constraints
- Safety concerns or incidents
- Hold weekly one‑on‑one meetings with direct reports to:
- Review performance, workload, and priorities
- Address obstacles and support development
- Reinforce expectations and standard work
- Lead weekly coordination meetings (as needed) to align sites on:
- Material flow and transfers between warehouses
- Prefab schedules and jobsite delivery readiness
- Upcoming high‑risk or time‑sensitive shipments
- Coach and develop team members through clear feedback, training, and performance management.
- Partner with Warehouse Manager and Operations leadership to plan staffing levels, coverage during peak periods, and succession planning.
- Ensure consistent enforcement of Baker Electric policies, safety standards, and cultural expectations across all locations.
Cross‑Location Coordination & Standardization
- Drive standard work across Escondido, Santa Fe Springs, and Prefab for:
- Receiving and shipping processes
- Staging, labeling, and documentation
- Returns and material disposition
- Balance workload and resources across sites, including transfers of material, labor support, or staging capacity.
- Act as the primary point of accountability for Shipping & Receiving performance across all warehouse and prefab locations.
Communication & Reporting (Multi‑Site)
- Provide regular updates to Warehouse and Supply Chain leadership on:
- Site performance
- Staffing and labor constraints
- Delivery risks or delays
- Escalate issues early with clear options and recommendations.
- Serve as a key connector between Warehouse, Prefab, and Procurement
