Position Summary
The Office Services Specialist supports daily office operations through shipping and receiving, purchasing coordination, and select order processing functions. Reporting to the Director of Office Services, this role utilizes Salesforce to manage purchasing and shipping tasks, provides backup receptionist coverage as needed, and assists the team with logistics and support during the company's annual conference.
Essential Job Functions
- Coordinate daily shipping and receiving operations, including preparing outgoing shipments and processing inbound deliveries.
- Perform routine Salesforce tasks to support purchasing, shipping, and operational tracking.
- Assist with select order processing functions, ensuring orders are accurately entered, tracked, and fulfilled.
- Purchase office supplies and materials while maintaining appropriate inventory levels.
- Learn, track, and maintain Karmak inventory within Karmak Fusion, managing both on-premises and off-premises inventory locations.
- Provide backup front desk coverage, including greeting visitors and answering phones when needed.
- Support the Office Services team with logistics and coordination for the annual conference and other company events.
- Assist with light custodial and facility support tasks as needed to maintain an organized and functional workplace.
- Provide coverage for the Director of Office Services during absences, ensuring continuity of key office services operations.
Essential Knowledge, Skills and Abilities
- Proficiency with Microsoft Office applications, including Excel and Word.
- Ability to adapt quickly and manage shifting priorities in a dynamic work environment.
- Willingness and ability to learn and work within Karmak software systems, including Fusion.
- Experience with Salesforce or similar CRM/business systems is preferred.
- Ability to operate standard office equipment, including:
- Fax machine
- Copy machine
- Postage meter
- Strong organizational and customer service skills.
- Ability to lift up to 50 lbs. as part of shipping, receiving, and inventory handling.
- Basic technical troubleshooting ability for office equipment and operational processes.
- Demonstrated professionalism when communicating over the phone and with visitors.
- Ability to manage multiple tasks simultaneously while maintaining attention to detail.
- High school diploma or equivalent required.
- Typically requires one to three years of related experience in office support, operations, shipping/receiving, or a similar field.
