Summary
Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel. Sorts incoming and outgoing mail and faxes. Handles general office service needs.

Clerical Duties
Responsibilities include:
- Answering incoming telephone calls, determining purpose of callers, and forwards calls to appropriate personnel or department.
- Taking and delivering messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answering questions about organization and providing callers with address, directions, and other information.
- Welcoming on-site visitors, determining nature of business, and announcing visitors to appropriate personnel.
- Developing familiarization with visitors who frequent the office.
- Monitoring visitor access and issuing passes when required.
- Receiving, sorting, and routing mail, and maintaining and routing publications.
- Maintaining fax machines, assisting users, sending faxes, and retrieving and routing incoming faxes
- Ordering, receiving, and maintaining office supplies.
- Operating office equipment such as envelope-sealing machine, letter opener, postage machine, and photocopying machine.
- Performing other clerical duties as needed.
- Completing special projects as assigned by Manager.
- Assists Service Team as needed.
- Learning all Clerical Department service standards and procedures.
- Developing Manager confidence in job knowledge, judgment calls, and awareness of current industry trends and developments.

Greets visitors and coworkers with a welcoming attitude. Aids in multiple facets of the agency that require attention. Works together with team and with other departments. Volunteers to back up and/or assist others as needed. Any special project as assigned by Service Manager. Manages PTO to work with departmental needs.

Requirements
Education and/or Experience
Associate's degree or equivalent from a two-year college or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to comfortably present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
