Position Overview
The Estimator role is critical for the success of a restoration company, as they are responsible for creating estimates in Xactimate utilizing the program guidelines and IICRC standards. They must be detailed oriented and understand commercial and insurance restoration industry. Having a basic construction background which includes basic understanding of building materials, flooring and other materials affected by wind, water, fire, smoke and other property damage causes will assist in being successful in this position.
Xactimate experience is an essential requirement of this job. If you do not have experience with this software, we will provide training.
Essential Job Duties & Responsibilities:
- Taking new leads
- Taking down insured’s information, contacting, scheduling, providing technician with file (enter insured’s information into forms and label the front of file for the technician to take to job site), entering job into Respond and MICA
- Customer Service/Phones
- Answer phones and direct calls to intended person.
- 24-hour notes/Initial uploads
- Uploading initial within 24hrs of being on site.
- Daily uploads/updates
- Update estimate as the job progresses with demo, check that all needed photos, docs are available. Also request additional funds/drying days from adjuster via XACT analysis note for specific vendors if needed.
- Keeping track of assigned jobs.
- Make sure that enough funds are requested, journal notes are updated with important information (i.e. on hold, issues with insured, etc.)
- Keep track of days pertaining to each job for cycle time purposes. All jobs are to billed completed and billed in under 10 days, in order to count positively on cycle time. Adhering to guidelines
- Each insurance company has a specific set of guidelines as to what we can and cannot charge for and as to what information they must be provided with
- Following up/communicating with adjusters Regarding progress/status of job, approvals, estimate, etc.
- Assisting technicians where needed.
- Rough estimates
- Provide rough estimates for technicians when requested.
- Closing jobs Upload final completed estimate and monitoring packet in XACT analysis within 24 hours of job completion.
- Billing Requests
- After your estimate is marked “Client Billed”, send a billing request to accounting.
- Complete tasks in Restore
- Be sure that all your job tasks in Restore are completed
- Must be available to technicians your entire on call week/end to answer phone calls from technicians, send paperwork to insured, write rough estimates, upload initial estimate/24-hour scope reports, upload final estimates for jobs completed
- Ensure highest standards of communication and customer service.
Job Requirements & Qualifications:
- Customer relations and service Skills a must.
- Excellent written and verbal communication skills
- Excellent office experience and computer literate
- Ability to understand specifications and break down the job piece by piece in order to put together a complete estimate.
- Ability to coordinate with jobsite technicians and deal with jobsite issues to ensure proper completion of the job billing.
- Ability to work under pressure and handle multi-task projects without supervision
- Handle incoming/outgoing calls with professionalism
- Communicate with customers /insurance adjusters in a professional manner
- Xactimate and Restore 365 Software experience a plus but not required, will train
- Being proficient in Mica and understand the importance of accuracy
- Must be able to work after hours if needed.
