Responsibilities
We are on the lookout for a dedicated and experienced superstar to join our team as an Executive Assistant to the Chief Accounting Officer at our National office in San Diego, CA. This is an exciting opportunity for someone who is enthusiastic, detail-oriented, and ready to take on new challenges in a dynamic environment.
The Executive Assistant will serve as the primary support on all matters pertaining to the office of the Chief Accounting Officer. This individual also serves as a liaison to the department management teams, organizes and coordinates executive schedules, provides administrative support, and maintains an ongoing status of the SVP’s daily agenda and work projects. This individual must be a trusted member of the team, with the maturity, integrity, good judgment, and character to properly handle a wide range of matters, including those of a sensitive or confidential nature. The ideal individual will be able to work independently on projects, work under pressure at times and handle a wide variety of tasks.
The EA will complete a variety of administrative tasks including but not limited to:
- Manage an extremely active calendar of appointments; completing expense reports; assembling reports; composing and preparing correspondence and confidential information.
- Arrange detailed travel plans, itineraries, and agenda and compile documents for travel-related meetings.
- Maintain computer databases, paper and electronic filing systems.
- Review, proof and analyze reports, policies, contracts, etc. and provide suggested changes and/or additional information as needed.
- Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
- Manage the office and maintain office supply stock.
Qualifications
What You Need for Success:
- College Degree Preferred.
- Minimum of 5+ years of relevant work experience *Real Estate or Property Management experience a plus.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, business partners, executive and leadership staff.
- Strong computer and software knowledge: Microsoft office (Excel, PowerPoint, Word) calendar management software, Google docs, Zoom, etc.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks and attention to detail
- Requires strong computer and Internet research skills.
- Expert level written and verbal communication skills with strong accuracy and attention to detail.
- Energetic and professional demeanor with a high sense of urgency.
- Confidential, dedicated, and punctual with a flexible and positive attitude.
- Ability to prioritize and manage multiple tasks.
- Exceptional Customer Service skills.
- A desire to help and find answers to problems.
- Team-player, who is also an independent self-starter.
- Ability to travel (local and nationwide) 10-20% of the time.
- Minimum of 5 years of previous administrative experience in a corporate environment, supporting at least one senior executive.
- Ability to organize and prioritize multiple tasks in a timely manner.
- Proficiency in Windows, including advanced Word, Excel, PowerPoint and Outlook.
- Proven ability to review data and create and maintain charts in Excel.
- Experience with electronic calendaring (Google), meeting invites, electronic (video) conferencing.
- Experience working across multiple time zones.
- Manage the physical office, to include stocking office supplies, snacks and drinks.
Physical Requirements and Working Conditions:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
- Must be able to talk, listen, and speak clearly on the telephone.
- The position requires mobility within the office. Constantly operates a computer, phone and other office machinery such as a scanner and copy machine.
- Ability to travel to other locations for work, training, meetings, and other work-related activities.
- Must possess a positive and professional demeanor in all interactions, under all circumstances.
- Must be able to deal with a fast-paced, constantly changing work environment, including handling multiple tasks on a daily basis.
- May require use of personal or company vehicle.
- Employees must fulfill the performance standards of this position and comply with policies, rules and procedures of the company, including those set out in the Employee Handbook or otherwise communicated (verbally or in writing) toemployees.
- Typical work week will be 45-50 hours with some additional hours required as needed.

Pay Range $65,000 - $80,000 anually plus bonus
