Overview of the Accounting and Finance Support Specialist

We are seeking an Accounting and Finance Support Specialist to assist with the daily financial operations of our nonprofit organization. As an Accounting and Finance Support Specialist, you will help ensure accurate transaction processing, maintain financial records, and provide critical support to the accounting team.

Responsibilities of the Accounting and Finance Support Specialist

Manage grant processing workflow by reviewing submissions for accuracy, entering manual grant data into C‑Suite, advancing grants through approval stages, and coordinating timely payouts with the Grants Payable Associate.
Support vendor onboarding and payment processing by collaborating with Bill.com to troubleshoot vendor setup issues, process payments, and assist internal departments with vendor list integration.
Provide ongoing administrative support by responding to incoming inquiries, issuing grant award letters, updating grantee information, managing Bill.com connection requests, and directing emails to appropriate personnel.
Deliver cross‑team operational support by providing backup to the Shared Services Senior, assisting the Sr. Finance & Accounting Associate, and supporting handling of high‑priority requests.
Contribute to process improvement initiatives by offering input on workflow optimization, testing new solutions, and supporting successful change adoption within Shared Services.

Qualifications of the Accounting and Finance Support Specialist

Bachelor’s degree or equivalent accounting experience, preferably within a nonprofit organization.
Strong collaboration skills with the ability to work effectively across departments and within a team environment.
Proficiency in Microsoft Excel, including VLOOKUPs, Pivot Tables, and Index/Match is required.
