Position Summary:

Essential Functions:
Office Management and Operations:
- Ensure efficient staffing and operation of the Houston office during all business hours.
- Manage phone systems for prompt call handling.
- Maintain knowledge of office layout and facilities, including key management.
- Coordinate with vendors and building management for facility-related issues.
- Maintain security systems and emergency response procedures.
Human Resources & Support:
- Manage end-to-end HR functions including recruitment, onboarding, and training.
- Implement and improve HR systems and foster a productive workplace culture.
- Assist VP of Administration & Human Resources with general HR tasks and HRIS management.
- Act as primary contact for the third-party PEO.
Vendor and Client Management:
- Serve as primary contact for vendors and clients, ensuring responsive communication.
- Deliver exceptional service to uphold the company's reputation.
- Manage the "Houston" email address for efficient communication.
Financial & Cash Management Oversight:
- Oversee financial transactions and reporting accuracy.
- Assist in corporate reporting and financial analyses.
- Ensure compliance with financial regulations.
Reporting & Compliance:
- Collaborate with the Controller for accurate financial statements.
- Collaborate with the VP of Administration & Human Resources on a variety of tasks.
- Prepare corporate reports and provide data for financial analyses.
- Ensure compliance with regulatory requirements.
Position Requirements:
- Bachelor's degree in a related field preferred, with 5+ years of experience in a similar role.
- Strong Microsoft Office, time management and organizational skills required.
- Strong leadership, communication, and interpersonal skills.
- Strong verbal/written communication skills and mathematical proficiency.
- Dependable and adaptable to operate within a fast-paced work environment.
- Strong problem-solving skills.
- Bilingual (Spanish) is not required, but desirable.
- Valid driver's license that meets ServiceMaster TRS insurance specifications.
- Ability to pass pre-employment drug test and criminal background check.
Physical Demands and Working Conditions:
Primarily in an office environment; during business hours.
