Essential Duties:
- Assist with ensuring positive customer service is given to our subcontractors, inspectors, fellow team members and owner representatives at the project site.
- Maintain all jobsite files, electronic and paper, ensuring files are up to date and electronically recorded accurately, may maintain Dropbox files as well.
- Ensure all Daily reports are completed and recorded every day for all EHCC and contractor personnel.
- Gather data for the Daily Manpower Report Summary and submit weekly to the corporate office.
- Create meeting agendas and attend project meetings taking meeting notes, consolidating notes and distributing meeting minutes as needed.
- Learn and understand the requirements of workplace safety and report any issues to the project team immediately.
- Ensure accurate recording of information via EHCC master forms for Insurance, Certified Payroll and Contract logs bi-weekly at a minimum then provide to corporate in a timely manner.
- Able to create, maintain, and archive both pre and post construction submittal logs.
- Support the project team in log reporting (e.g. DSA inspections, Procurement, Field, etc.).
- Assist the team entering and distributing RFI’s, ASI’s, and CCD’s and help to maintain files.
- Know about Skilled and Trained workforce requirements for project(s), collect and track required reports for owner submission.
- Assist the Superintendent in coordination of project start up (i.e. trailer mobilization).
- Assist the project team in communications, tracking and logging of punch list items.
- Calendar events and the Pull Planning sessions as directed by site Manager.
- Create and maintain the Equipment Rental Log and submit to accounting and the corporate office weekly.
- May take project photos and uploaded to the company server on a weekly basis.
- Be familiar with plans and specifications and able to help gather information as needed with direction.
- Create and maintain post-construction submittal log with assistance: owner training, extra stock, as-built drawings and responsible for closeout documents for project turnover.
- Distribution of project submittals through review/approval process.
- Assists the team in the tracking and logging of items for LEED specific projects.
- Assist immediate supervisor with obtaining subcontractor Cost Proposals and learning about SOV Forms.
- Learn and gather data for Contractor & Owner billings.
- Learn, assist and process information about Change Orders
- Perform other office functions as needed.
Knowledge, Skills and Abilities:
- Two or more year(s) of work experience in construction administrative support preferred.
- Advanced understanding of MS Office, Bluebeam/Adobe, and data entry skills necessary.
- Ability to work well with others, meet deadlines and adapt to changes in priorities.
- Detail oriented with a high level of accuracy.
- High School Diploma or equivalent preferred.
