In providing project specialist services, you will be responsible for planning, organizing, and scheduling project work; monitoring task performance and deliverables; conduct assignments following both client requirements and company policies; manage document control; assist and support project and construction managers in the execution of the project administration, communication and coordination functions as well as client satisfaction and financial monitoring. The duties of this position, following on-the-job training, will include:
- Support project managers, task managers and deputy task managers in collection/distribution of data, communications, and coordination of team deliverables.
- Assist with state and federal funding agreement administration including following, maintaining, and updating relevant standard operating procedures.
- Prepare state and federal funding periodic and ad-hoc reporting following established standard operating procedures.
- Maintain compliance with program policies and procedures.
- Assist the Contracts and Procurement Lead with tracking and developing program contracts including maintaining an organized and complete document management system.
- Support task managers and deputy task managers with development of reports, technical memoranda, and presentations.
- Assist with coordination, tracking, and reporting of regulatory requirements.
- Initiate the development, maintenance and submission of periodic status reports to keep project management and clients informed of contract or task progress.
- Manage records retention procedures and conducts periodic checks for conformity among all assignments. Conducts document control activities such as version control and distribution management are performed in a timely fashion and in accordance with project and contract requirements.
- Assist in the development, implementation, and management of construction administration support functions including construction procurement activities, change management, document administration, and design engineer review coordination for RFI’s and Submittals
- Assist quality manager with coordination, tracking and reporting of QA/QC efforts at the project, contract, and task level for consistency and in accordance with requirements.
- Develop and maintain successful working relationships with client counterparts and other Program consultant contacts.
- Lead client and internal meetings to advance project work.
- Meet identified performance metrics including project performance goals.
- Collaborate with regional and national colleagues to confirm resources are deployed for the greatest project success and client satisfaction
Desired Skills and Experience:
- Bachelor’s degree and 2-5 years of experience in the field or a related area or 10+ years of experience in the field or a related area.
- Large project and program delivery and client service engagement is a plus.
- Energetic, compelling communicator, capable of listening and interacting effectively with staff and clients at all organizational levels.
- Candidate should be a self-starter, results-oriented, and have the ability to work and excel under tight deadlines.
- Curious and flexible attitude capable of adapting to a dynamic project.
- Strong analytical and problem-solving skills, with the ability to develop innovative solutions to unique challenges.
- Strong organizational skills with a proven ability to follow through.
- Demonstrate strong group management skills including delegation/oversight of team members’ work.
- Capable of learning and applying technologies commonly used in project cost controls and reporting (e.g. MS Excel, PMIS implementation, work planning/scheduling).
- Ability to travel for client meetings.
Salary Range: The anticipated starting pay range for this position is based on the employee’s primary work location and may be more or less depending upon skills, experience, and education. These ranges may be modified in the future.
Location A: $72,000 - $98,000
Location B: 79,000-$108,000
Location C: $87,000-$118,000
