A LITTLE BIT ABOUT THE POSITION

The Print Coordinator works collaboratively with the editorial, design, production, sales, and operations teams, especially in the EDU segment, to manage all aspects of book production. This role requires strong organization skills and demonstrated experience managing multiple projects and deadlines. Primary responsibilities include print quotes, scheduling, ordering printing/production, and communication with stakeholders.

This position requires one year of book publishing experience.

KEY DELIVERABLES

Create and send requests for quotes to specific book printers. Coordinate with segment and corporate ops teams to select printer and winning bids for selected titles.
Own book printing timelines ensuring all deadlines are met; continually check in with printers to keep projects on track. Anticipate problems and prevent surprises.
Collaborate professionally with sales, customer service, inventory, editorial, and operations teams to ensure books are available for customer orders. This role depends on how well information is documented and shared, not just managed.

SPECIFIC JOB TASKS

Build, maintain, and actively manage detailed print production schedules for assigned titles. Ensure deadlines are met and any red flags are addressed early in the process.
Keep meticulous, functional records by title for all books ordered, expected delivery dates, and printer proofs (sent, received, and approved).
Continually communicate with printers to obtain quotes and schedules, issue POs, and manage printer deliverables; be comfortable holding printers to deadlines they have agreed to. Hold vendors accountable by being polite but firm.
Maintain strict adherence to schedules by:
Confirming status and ship dates with printers and vendors on a regular (weekly or more frequent) basis.
Updating schedules immediately when changes occur.
Communicating delays or risks promptly to all relevant stakeholders.
Keep the appropriate individuals informed of any service disruption or vendor quality issues. Work with vendors to resolve issues and determine corrective actions.
Utilize tools, including CoreLogic by PSSC, NetSuite, HubSpot, and Monday.com to keep projects on time and on budget.
Process invoices accurately and on time and clearly explain cost discrepancies as needed.
Work collaboratively with multiple teams on a variety of projects; inventory management, invoicing, editorial, sales.

KNOWLEDGE & SKILL QUALIFICATIONS

Required - One year of book publishing experience.
Experience with highly detailed and time sensitive processes, programs, and deliverables.
Thorough, accurate, and articulate verbal and written communication skills with the aptitude to communicate effectively in both individual and group settings regardless of audience.
Collaborate with a diverse team of internal and external stakeholders.
Utilize technology, where appropriate, to improve workflow, including: Monday.com, NetSuite, HubSpot, CoreLogic by PSSC, Microsoft suite, and solid computer skills.
Proficiency and accuracy with numbers and basic accounting skills.
Negotiation and diplomacy skills a must.
Seek continuous improvement and innovative solutions.
Maintain grace under pressure in a high-energy, fast-paced environment.

Job Type: Full-time

Pay: $19.23 - $24.04 per hour
