Position Summary:
The Vice President of Operations plays a crucial role in our company’s pursuit of operational excellence, efficiency and strategic expansion. Entrusted with the leadership of current branches across two states, this role also encompasses driving the growth of our network, including the development of new branches through organic means and M&A activities.
In this capacity, the VP of Branch Operations will champion operational efficiency and customer service excellence. You will be instrumental in implementing process improvements, ensuring adherence to company policies, industry standards, and regulatory requirements, and enhancing customer experience to meet the high standards our clients expect. This position offers the opportunity for extra bonus compensation upon achieving specified targets.

Essential Functions:
Strategic Leadership:
- Develop and execute operational strategies to achieve company goals and objectives.
- Provide regular updates to CEO on operational performance.
- Develop and maintain effective communication channels within the operations team.
- Participates with CEO in development of operational and business strategies, supporting the CEO or Owner’s vision and process ideals.
Operational Oversight and Efficiency:
- Manage and provide strategic direction to the operational teams in each of the local branches.
- Streamline operational processes to enhance efficiency and productivity.
- Implement best practices to optimize resource utilization and reduce costs.
- Ensure consistent and high-quality service delivery across all branches.
- Actively leads and facilitates bi-weekly branch meetings, shaping the agenda and focusing on key performance indicators, while also acting as an observer and trainer to ensure effective meeting management and operational alignment within each branch.
- Influences selection of vendors and manages ongoing vendor relationships.
- Responsible for overseeing significant expenses and purchase policies, coordinating closely with the Finance & Accounting Department to ensure alignment with budgetary guidelines and strategic objectives.
- Improve operational management systems and processes and provides training for new initiatives and technology launches.
- Conducts onsite field evaluations for compliance for licensing, vehicle, regulatory, EHS, Safety, DOT, quality, and company policies. Escalates opportunities for improvements/corrections directly to CEO.
- Provides direct support to Senior Operations Managers regarding customer escalations, technical questions, and standard operating procedures.
- Oversees and reviews daily operational and compliance metrics, as well as the escalation, tracking, and resolution of issues.
- Communicate process changes to relevant parties to ensure a successful business.
Team & Performance Management:
- Oversee recruitment, training, and development of a skilled and motivated operations team.
- Responsible for providing ongoing coaching, training, and mentorship to direct reports, enhancing their capabilities, and supporting their fulfillment of job duties and responsibilities. Implement and monitor key performance indicators (KPIs) to assess branch and overall company performance.
- Identify areas for improvement and implement corrective actions.
- Performs employee performance reviews of all direct reports semi-annually.
Customer Relations:
- Collaborate with the sales and customer service teams to understand client needs and expectations.
Fleet Management:
- Oversee Comprehensive Fleet Operations: Responsible for the management of 100 vehicles, ensuring optimal performance, efficiency, and compliance with maintenance schedules.
- Ensure Compliance and Safety: Adhere to the highest standards of safety and environmental responsibility, maintaining strict compliance with local, state, and federal regulations.
- Strategic Fleet Optimization: Lead strategic planning for the fleet, including acquisitions, disposals, and lifecycle management, to ensure cost-effectiveness and operational efficiency.
- Cost-Saving Initiatives: Implement and oversee cost-saving measures and efficiency improvements across fleet operations.
- Technological and Regulatory Advancements: Stay informed about technological advancements and regulatory changes that impact fleet operations, and lead the adoption of innovative practices and tools.
- Continuous Improvement: Foster a culture of continuous improvement within the fleet management team, encouraging and implementing best practices for fleet performance and sustainability.
- Implement and Manage Fleet Analytics: Champion the introduction and ongoing management of a fleet analytics system to drive data-driven decisions, optimize fleet efficiency, and identify cost-saving opportunities, ensuring continuous performance improvement and strategic oversight.
Compliance and Safety:
- Enforce and maintain safety protocols and procedures.
- Stay current on industry regulations and ensure that all branches comply with local, State and Federal regulations.
Financial Oversight:
- Work closely with the finance department to manage budgets for each location.
- Analyze financial reports to identify areas for cost savings and operational efficiency.
Integration and Standardization Leadership:
- Lead Integration Efforts and TRS Playbook Implementation: Direct the adoption and implementation of the TRS playbook across all branches, ensuring consistent operational practices and standards are met.
- Develop and Enhance Operational Standards: Collaborate in the development and refinement of company-wide operational standards and procedures, ensuring they align with strategic objectives and industry best practices.
- Support Branch Integration: Provide hands-on support and guidance to branches undergoing integration, ensuring a seamless transition and alignment with corporate standards and culture.
- Operational Excellence and Compliance: Lead efforts to elevate branches to meet and exceed established operational KPIs and compliance requirements, fostering a culture of continuous improvement and operational excellence.
Travel:
This role requires frequent travel, with a minimum expectation of monthly visits to each of our four branch locations (Houston, then 3 in CT). Given our plans for expansion, additional travel to new branches or for business development and training purposes should be anticipated. Ideal candidates will be based near a major airport to facilitate easier travel. We value flexibility and adaptability in meeting the dynamic needs of our growing company.
Position Requirements:
- Bachelor’s degree in business administration, operational management or finance preferred but not required, 3-5 years equivalent experience in similar role.
- Minimum of 2 years of direct management experience in the restoration industry, with strong knowledge of restoration techniques, materials, and equipment.
- WRT, ASD & FSRT IICRC Certification required; additional IICRC certifications (OCT, AMRT) preferred.
- Demonstrated proficiency in project management and industry-specific software platforms, including Xactimate, with strong skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams), MICA mobility and Quickbooks Time/TSheets.
- Experience with XactAnalysis for operational improvement is highly valued.
- Experience with Microsoft Power BI is highly valued.
- Valid driver's license that meets ServiceMaster TRS insurance specifications.
- Ability to pass pre-employment drug test and criminal background check.
- Ability to read, analyze, and interpret general business processes as well as Federal, State, and local rules and regulations and successfully apply and provide support in efforts to comply with regulations and process improvement initiatives.

Physical Demands and Working Conditions:
The physical requirements of this position are two-fold. When completing administrative/office work this position may include sitting for prolonged periods of time, Repetitive motion (extensive use of keyboard/computer), talking, hearing and close visual acuity to perform essential job functions.
