Torch Technologies is seeking an Administrative Support, Senior level position to work w ithin the AFLCMC/GB Business and Enterprise Systems Directorate (BES) located at Kettering, OH (Dayton/WPAFB area), The GBM Division systems provide integrated capability for planning, scheduling, and executing organic depot-level maintenance, base-level maintenance and Installation support to support agile planning, optimized workload assignment and resource allocation, and integrated quality control. AFLCMC/GBM systems manage programmed and un-programmed repair, upgrade or modification of major weapon systems, workload forecasting, planning, parts support and tracking, contract management, cost reporting configuration management, as well as providing support to base civil engineering, real property management, environmental compliance, geo-spatial information, and fire suppression.
ESSENTIAL DUTIES/POSITION DESCRIPTION:
This position requies a highly motivated candidate to provide Administrative Support (e.g. provide a multitude of analysis, procedural competency, and process improvement strategies with increasing levels of responsibility). This includes staff support for the senior managers and members of the organizational staff. This includes but is not limited to:
- Staff support for the senior managers and members of the organizational staff;
- Researching and compiling information pertaining to certain projects/topics;
- Reviews CDRL packages;
- Prepares factual, clear, concise, complete and appropriately coordinated written communications;
- Ensures leadership is kept informed of all issues of interest that relate to the mission of the Directorate;
- Monitors progress toward accomplishment of various taskings and initiatives;
- Provides support by supplying the information and background for the preparation of program events;
- Drafts documents for the approval and signature of leadership;
- Disseminates program policy and specific initiative guidance for members of the organization;
- Coordinates, documents, monitors, and supports a variety of meetings and conferences to include, but not limited to, scheduling and set up of physical and virtual meetings in support;
- Prepare background information and invite required meeting participants ensuring documentation of the meetings are filed IAW organizational policy which may include, but is not limited to, attendance logs, minutes and/or action items with corresponding action officers;
- Maintain scheduling documents and requirements for video and online conferencing set up and execution which may include, but is not limited to, the maintenance logs on the equipment and the corresponding instructions on equipment set up and meeting execution; and/or,
- Provide travel planning and execution support. Note: Contractor personnel may not be assigned permissions level 2-7. However, they may be appointed as a Non-DTS Entry Agent (NDEA) per the DODFMR, Vol 9, Chapter 2, Para. 020301(F). Contractor personnel can also be assigned permission level 4 to perform CBA reconciliation. They may not certify/approve CBA invoices and their appointment must specify this restriction.
JOB REQUIREMENTS/QUALIFICATIONS:
The qualifications below represent basic qualifications that any candidate for this position should possess to be successful in meeting the responsibilities and duties described above.
- Experience using the Microsoft Office Suite to include PowerPoint, Outlook, Word, Visio and Excel
- Experience using Microsoft SharePoint for records management
- Experienced in the use of the Defense Travel System (DTS)
- Familiar with the use of Video and Teleconference capabilities to support the scheduling, reservation, and execution of meetings. This includes but may not be limited to:
- Microsoft Teams Virtual Meetings
- Conference Room Phone and Video Technologies
EDUCATION:
GED and at least two years of experience in the respective profession being performed, two of which must be in the DoD.
Candidate must be a U.S. Citizen
Must have an active NACI clearance or must be able to obtain and maintain.
