THE POSITION
Campbell & Company is seeking a highly organized, resourceful, and proactive Executive Assistant to support our firm’s Co-Presidents and Chief Financial Officer (the Officers) by ensuring their time, schedules, and priorities are optimized for maximum impact. The person in this role will be the strategic force that keeps everything running smoothly—clearing the decks so our leadership can stay focused on high-level strategy and decision-making that benefits our employee-owned firm.
The ideal candidate is someone who loves solving puzzles, thrives on bringing order to complexity, has a natural curiosity that helps them anticipate needs before they arise, and identifies creative solutions to obstacles. This role is perfect for someone who finds satisfaction in optimizing workflows, streamlining packed schedules, and contributing as an engaged employee-owner.
RESPONSIBILITIES
The Executive Assistant will have the following responsibilities:
- Own and manage complex calendars, ensuring schedules align with business priorities.
- Anticipate needs and proactively adjust schedules to maximize productivity.
- Screen and prioritize meeting requests, protecting time for high-impact work.
- Manage meeting preparation, ensuring Officers have the necessary materials and context ahead of time
- Coordinate across multiple teams and constituents to streamline scheduling and logistics.
- Track key deadlines, commitments, and follow-ups to keep initiatives moving forward.
- Draft, review, and send professional email communications including client agreements on behalf of the Officers.
- Assist in preparing materials, agendas, and presentations for Board meetings and firm-wide meetings, ensuring all content is well-organized, accurate and ready for review by Officers.
- Maintain prospective and current client records and documents in Salesforce, SharePoint, project management software (Klient), and other systems.
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with others.
QUALIFICATIONS
The ideal candidate will possess most of the following qualifications:
- 5+ years of experience as senior administrative assistant or executive assistant supporting senior executives in a fast-paced environment.
- Excellent time and project management skills, and the ability to prioritize multiple tasks with competing deadlines
- Excellent verbal and written communication skills, including strong proofreading and copyediting skills
- Strong Microsoft Office skills (Outlook, Word, PowerPoint, Excel) required
- Experience with Salesforce or other CRM systems, project management systems, and SharePoint a plus
- Intellectual curiosity and a problem-solving mindset
- Demonstrated ability to anticipate the needs of executives and take initiative to prevent issues before they arise
- Exceptional organizational skills and attention to detail
- Comfort dealing with people at all levels of an organization and ability to successfully adapt to various working styles
- Familiarity with not-for-profit and philanthropic organizations a plus
- Must be based in the Chicagoland area and able to work in our downtown Chicago office two to three days per week.
COMPENSATION AND BENEFITS
The salary range for this position is $75,000 - $81,000 annually.
