Administrative Coordinator

(Part-Time, with growth potential into Executive Assistant)

Position Overview

The Administrative Coordinator will play a key role in supporting daily operations, ensuring smooth administrative processes, and serving as a friendly point of contact at the front desk. This part-time role offers growth opportunities into executive-level administrative responsibilities.

Key Responsibilities

1. Administrative & Data Entry (75%)

As the Administrative Coordinator, validate and code expense reports (Paylocity), ensuring accuracy for departmental categorization.
Review and code benefit invoices
Maintain and update spreadsheets; utilize advanced Excel functions (Pivot Tables, VLOOKUP, SUMIF).
Prepare expense data for upload into NetSuite.

2. Front Desk Support (15%)

The Administrative Coordinator will greet visitors and employees with professionalism and warmth.
Serve as a go-to resource for internal inquiries.

3. Office & Kitchen Management (10%)

The Administrative Coordinator will order and stock kitchen supplies daily
Coordinate company breakfasts/lunches and order branded swag.

Minimum Requirements

Must-Haves:

Experience validating expense reports and coding benefit invoices.
Strong administrative and data entry skills with light accounting experience.
Proficiency in Excel (Pivot Tables, VLOOKUP, SUMIF).
Professional written and verbal communication skills.

Pluses:

Familiarity with Paylocity and NetSuite.
Prior experience in a front desk or office coordinator role.
