We are looking for a Records Clerk for our Fleet and Facilities Team in Campbell, CA!
Job Summary: This position is responsible for supporting the Fleet and Facilities Team as well as our mechanics by performing necessary data entry and file management duties, maintaining accurate fleet and facilities related records including maintenance records, monitoring recalls, disseminating information to the appropriate people, assisting in data collection and projects, communicating with and supporting others ensuring the efficiency and accuracy of processes, projects and documentation.
Essential Duties and Responsibilities:

- Collect, enter, manage, and prepare filing needs for all Fleet and Facilities data, in the appropriate systems, accurately and in a timely manner.
- Assemble, manage and maintain both physical and digital files for all Fleet & Facility related files.
- Perform clerical duties, such as filing answering phone calls and responding to emails.
- Communicate with yard shop managers as needed to ensure timely completion, consistency, and accuracy of equipment maintenance data.
- Support the processing of and follow up on requests for equipment moves, driver changes, GPS changes & replacements.
- Research, pull, and prepare data for various reporting needs by those in the Fleet Management Team.
- Schedule, prepare materials, and participate in department meetings.
- Assist in the scheduling of travel, training & certification testing as needed or requested.
- Support the management of GPS tracking, fuel cards, toll charges, parking tickets and citations. Respond to alerts and provide reporting as required.
- Communicate regularly with the Fleet Management Team and provide additional support as needed to ensure that processes and/or projects are completed accurately and efficiently.
Qualifications:
- Education/Experience:minimum 2 years of college preferred or equivalent in education and experience. Minimum 3 years general office management experience preferably in a construction company or similar environment. Experience with, or general knowledge of, automotive or construction equipment repairs and/or maintenance.
- Certificates/Licenses:valid driver's license in good standings (must be 18 years of age or older to operate a company vehicle).
- Computer Skills:intermediate to advanced knowledge or MS Excel and other Microsoft software programs. Experience with Viewpoint and/or Bid2Win.
- Interpersonal Skills:ability to interface with a variety of people including clients, employees, managers, agencies, and the general public.
- Leadership:proactively cultivating leadership abilities through a willingness to receive constructive feedback and demonstrate coachability.
- Mathematical Skills:basic math and accounting knowledge.
- Organization and Planning:detail oriented, efficient and effective. Ability to work at a fast pace while maintaining accuracy.
- Problem Solving:ability to use a systematic approach to solve problems and evaluate alternative solutions.
Physical Requirements:
- Must be able to read, write, speak, and comprehend English.
- Hearing adequate to perform job duties in person.
- Able to communicate clearly in person and over the telephone.
- Visual acuity adequate to perform job duties and respond to dangerous situations.
- Frequent bending, reaching, standing, walking, squatting, sitting, pushing, and pulling.
- Manual dexterity to operate a keyboard and other electronic devices. Repetitive motions that include the wrists, hands, and/or fingers.
- Able to safely ascend or descend step ladders, stairs, ramps, etc.
- Adjust or move objects up to 20 pounds in all directions without assistance.
- May work in areas where hazardous substances are present.
Salary:
- $29.57/hour - $38.41/hour
