Position Overview

"We are looking for a reliable, positive, and highly organized individual to join our team in an office setting. The ideal candidate will support business owners, management, and team members by handling a variety of tasks such as processing invoices, managing accounts receivable, customer service follow-up, answering phones, and using multiple types of software. Experience with QuickBooks, Microsoft© Office application, and Payroll is required. We are seeking someone with strong problem-solving abilities, attention to detail, and excellent writing skills, who can interface confidently with customers and suppliers."

Job Responsibilities

Prepares correspondence, memoranda, reports, and other documents.
May initiates routine and non-routine correspondence.
Answers telephone calls, greets visitors, and resolves routine and complex inquiries.
Schedule appointments & meetings.
Enter in new job into ServiceMaster platform, captures relevant customer and job information.
Manages and tracks accounts receivable, including customer follow-up on payments.
Calls customers to follow up on completed work, ensuring satisfaction and addressing any issues.
Assists in managing financial records, including QuickBooks and Payroll tasks.
Understands ServiceMaster operating systems and the services we offer.

Job Requirements

High school diploma/GED required.
Previous administrative assistant experience required.
Experience and skill with Microsoft© Office application, QuickBooks is required.
Experience with Payroll systems is preferred.
Familiarity with CRM systems is a plus.
Strong customer service and interpersonal skills.
Experience in HR is a plus.
Comfortable with using multiple types of software.
Personal time management and organizational skills.
Verbal and written communication skills.
Dependable and adaptable to operate within a fast-paced work environment.
Ability to manage highly confidential information.

Physical Demands and Working Conditions

Incumbent must be prepared to:

Move up to 20 pounds occasionally, by lifting, carrying, pushing, pulling, or otherwise repositioning objects.
Sitting for long periods of time while using office equipment such as computers, phones etc.
Fingering and Repetitive motions; such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment.
Close visual acuity to perform detail-oriented activities at distances close to the eyes, as well as visual acuity to perform activities such as preparing and analyzing data, viewing computer screen.
Be exposed to various inside working conditions: The change of building environment such as with or without air conditioning and heating.
