JOB SUMMARY
- The Payroll Administrator is a senior-level position within the Payroll Department, helping lead the execution of the weekly union payroll and taking on expanded responsibilities that go beyond the standard payroll functions. The Payroll Administrator is responsible for ensuring accurate and timely payroll processing, maintaining payroll records, and providing guidance and support to the payroll team. This position requires a deep understanding of payroll systems and regulations, with a focus on continuous improvement and efficiency. The position requires strong interpersonal skills in leadership and supervising processes. This team leader will continue to foster a collaborative, communicative, and positive work environment, enabling the team to reach its goals.
ESSENTIAL DUTIES AND RESPONSIBILITITES include the following. Other duties may be assigned.
- Assist the Payroll Manager with strategic initiatives and process improvements, providing backup for critical payroll functions as needed.
- Lead the weekly payroll process, including reviewing and transferring timecards, processing certified payrolls, and managing payroll edits to ensure accuracy and compliance.
- Run and review timecard/change reports, ensuring accuracy before upload into the payroll system.
- Enter and update employee information in the payroll system, including handling union-related tasks, such as processing annual fringe and wage rate adjustments. Adjust codes/rates and manage exceptions as necessary.
- Oversee the review of weekly job cost reports.
- Identify, resolve, and respond to payroll discrepancies, complex inquiries, and labor compliance issues.
- Process and manage weekly electronic payments.
- Administer disability and FMLA forms, handle EDD audits/inquiries, and manage wage insurance verifications.
- Serve as vacation backup during union report processing.
- Collaborate with Foremen to resolve discrepancies related to payroll data, ensuring timely and accurate payroll processing.

QUALIFICATIONS, EDUCATION, SKILLS AND/OR EXPERIENCE, LICENSES, AND CERTIFICATIONS
- The position requires strong interpersonal skills in leadership and supervising processes. This team leader will continue to foster a collaborative, communicative, and positive work environment, enabling the team to reach its goals.
- High school diploma required; relevant business and/or accounting classes preferred.
- Minimum of 5 years of payroll experience required, with at least 3 years in a senior or supervisory role. Construction Payroll experience preferred.
- Extensive experience with in-house payroll processing is essential.
- Strong background in union payroll is highly beneficial.
- Experience with an integrated payroll/accounting system.
- Experience with Labor Compliance monitoring companies.
- Exceptional organizational skills, with a high level of accuracy and attention to detail.
- Proficiency in all MS Office tools including Excel.
- Strong analytical and problem-solving skills, with the ability to exercise sound judgment.
- Ability to maintain confidentiality and exercise extreme discretion.
- Excellent ability to manage multiple tasks, prioritize effectively, and meet tight deadlines.
- Strong leadership abilities, with a focus on mentoring and developing junior payroll staff.
