This position will be located in Rolla, MO.
Summary
Project/Program Coordinators and Specialists play a pivotal role in orchestrating and optimizing various projects within the company. They are responsible for coordinating project activities, ensuring timely execution, and driving successful outcomes.
Responsibilities
Project/Program Coordinator III
- Help track project deadlines and tasks, making sure everything stays on schedule and organized.
- Assist the team with everyday administrative duties, like setting up meetings, keeping records, and creating basic reports or presentations.
- Update and maintain records and files to keep all information accurate and complete.
- Organize and keep track of project-related documents, including reports and communication materials.
- Work with other team members to understand project goals and help ensure tasks are completed on time.
- Be a go-to person for questions about the project, help with communication between team members, and take notes during meetings.
- Help ensure that project activities follow company rules and safety guidelines and assist with organizing safety training or maintaining safety records.
- Keep an eye on key project dates and progress, update team systems, and share updates with those involved.
- Support the team by helping manage resources, coordinate tasks, and assist with any facility-related needs or maintenance requests.
- Follow established processes to help with basic project coordination tasks, while working under guidance.
- Assist with logistics and procurement to ensure smooth operations and proper resource management for projects.
- Assist in developing and managing project plans, including setting timelines, budgets, and resource allocation for small to medium-sized projects, ensuring they stay on track and meet deadlines.
- Collaborate with team members to create project schedules and contribute to identifying areas for process improvement and streamlining workflows.
- Track project expenses, monitor budgets, prepare financial reports, and assist in budget forecasting to ensure the financial health of projects.
- Prepare detailed project status reports, including progress updates, risk assessments, and performance metrics, while ensuring clear communication with stakeholders.
- Coordinate day-to-day program activities, manage minor facility upgrades and maintenance, and help ensure the successful execution of small projects.
- Enter, update, and audit project data in tracking systems to maintain accurate and up-to-date records.
- Ensure proper maintenance and organization of project documentation, confirming the accuracy and completeness of all related materials.
- Work closely with internal teams, external vendors, and stakeholders to ensure projects stay aligned, address issues promptly, and maintain effective communication throughout the process
- Handle tasks for multiple projects and medium-sized programs, including helping to develop project scopes, budgets, timelines, and strategies to ensure successful execution.
- Provide support to junior project coordinators and team members by helping with training and offering guidance as needed to ensure team success.
- Help identify and address project risks, track performance metrics, and provide input to improve project outcomes.
- Act as a point of contact for key stakeholders, helping to maintain clear communication and ensuring projects stay aligned with expectations.
- Develop and maintain detailed program documentation, including regular reports and performance analyses, for management and stakeholders.
- Oversee project and program budgets, assist in forecasting financial needs, track expenses, and ensure projects stay within budget.
- Support large-scale facility projects, including renovations and maintenance, by coordinating tasks and ensuring activities are carried out efficiently.
- Coordinate with Project and Safety Managers to ensure projects comply with applicable codes and safety requirements.
Project/Program Specialist I

- Oversee the entry, validation, and comprehensive analysis of complex project data, ensuring high standards of accuracy and integrity.
- Evaluate and enhance project outcomes and data management processes, implementing best practices and driving continuous improvement initiatives.
- Provide mentorship to team members, promoting best practices in data management, operational support, and project execution.
- Conduct detailed data analysis, generate reports, and provide insights to management for informed decision-making.
Education & Credentials
Coordinator III
- High school diploma and 4+ years' experience in a related role or
- Associate's degree in project management, business administration, or related field and 2+ years' related experience or
- An equivalent combination of education and experience
Specialist I
- High school diploma and 6+ years' experience in a related role or
- Associate's degree in project management, business administration, or related field and 4+ years' experience or
- Bachelor's degree in project management, business administration, or related field or
- An equivalent combination of education and experience
