Accounts Payable Accountant

About the Role

Our client is seeking an experienced Accounts Payable Accountant to own the high‑volume invoice processing function and serve as the primary day‑to‑day contact for vendors and internal partners. This is a sole‑contributor AP position, ideal for a detail‑oriented professional who thrives in a fast‑paced, evolving environment and takes full ownership of accuracy, timeliness, and communication.

Key Responsibilities & Time Allocation

1. Invoice Processing – 80–85%

Process a high volume of invoices per month
Use an OCR automation system to review coding, assign cost centers and GL accounts, and ensure each invoice is routed correctly.
Manage both PO and non‑PO invoice workflows.
Validate coding, approvals, and readiness for integration into SAP.
Maintain high accuracy while managing steady, repetitive invoice flow.

2. Vendor Communication – 5–10%

Serve as the professional, timely point of contact for vendor questions, discrepancies, and status updates.
Collaborate with procurement when escalations or exceptions arise.

3. Weekly Payment Run Coordination – 5–10%

Partner with manager to review invoices ready for weekly payment processing.
Confirm approvals and flag errors, outliers, or missing information.
Support the final review prior to payment release.

4. Month‑End Close Support

Assist with reviewing AP aging to ensure completeness and accuracy.
Identify sales & use tax inconsistencies, coding errors, or outliers.
Use Excel (pivot tables and VLOOKUPs) to support analysis and reporting.

Minimum Requirements (Must‑Haves)

2–4+ years of full-cycle Accounts Payable experience.
Prior work with OCR‑based AP automation tools.
Strong understanding of PO and non‑PO workflows.
Ability to identify sales & use tax irregularities.
Professional communication skills, especially with vendors and internal departments.
Experience escalating issues and acting as a liaison with procurement.
Intermediate Excel skills, including pivot tables and VLOOKUP’s.

Preferred Qualifications (Pluses)

Experience with SAP.
Hands-on involvement in AP components of Month-End Close.
Comfort working as the primary or sole Accounts Payable Accountant in an organization.
Adaptability in environments where processes may shift or improve over time.
