The successful candidate will work across multiple projects and stakeholders—including client representatives, designers, contractors, and internal teams—to ensure alignment, transparency, and proactive management of risks, costs, and schedules.
Essential Functions:
- Create, maintain, and continuously update a project-specific tracker that captures major schedule, budget, contract, vendor, design, construction, and financial control items.
- Track design-phase activities including design schedules, permit schedules, major milestones, budget categories, consultant/vendor commitments, and timely issuance of consultant, general contractor, and vendor contracts.
- Track design sign-offs and phase-gate milestones, including 100% Schematic Design (SD), Design Development (DD), and Construction Documents (CD), before projects move to the next phase.
- Track construction-phase activities including construction schedules, major milestones, budget categories, contractor/vendor commitments, and timely issuance of consultant, general contractor, and vendor contracts.
- Maintain and update project forecasts in coordination with the owner’s project management and finance teams.
- Support financial administration by processing purchase orders, pay applications, invoices, and change orders in a timely and accurate manner.
- Monitor budgets by category and identify variances, risks, or items requiring follow-up with consultants, contractors, vendors, or the client team.
- Coordinate with consultants, general contractors, vendors, and client representatives to gather status updates, resolve tracking gaps, and maintain accurate project records.
- Prepare recurring status updates, reports, dashboards, or briefing materials that clearly communicate schedule, budget, contract, and financial status.
- Support project execution to include budgeting, scheduling, organizing teams, prioritizing multiple projects and deadlines, quality assurance, invoicing, reporting, and contributing to project deliverables.
- Meet with clients and their representatives as an individual or part of a team to present status, resolve issues, answer questions, and maintain strong client relationships.
Competencies:
- Project controls experience supporting design and construction projects, preferably in healthcare, hospital, campus, or complex facilities environments.
- Working knowledge of design milestones, permit schedules, construction schedules, budget tracking, forecasts, purchase orders, pay applications, invoices, and change orders.
- Ability to build and maintain detailed trackers, logs, dashboards, and status reports across multiple project phases and stakeholder groups.
- Strong organizational management with exceptional communication, writing, and follow-through skills.
- Ability to synthesize and distill schedule, budget, contract, and financial information into concise reports and presentations.
- Strong skillset in Microsoft Office applications, especially Excel, Word, PowerPoint, and Teams; experience with project management, scheduling, or financial tracking systems is preferred.
- Ability and willingness to travel to project sites, client offices, and other facility offices as needed.
Supervisory Responsibilities:
Education and Experience:
- Degree in construction management, engineering, architecture, facilities management, business, finance, project management, or related field of study.
- Minimum of 10 years of work-related experience in project controls, construction administration, owner’s representative support, program/project management, facilities management, or related work.
- Experience supporting healthcare, hospital, higher education, campus, commercial, or other complex facilities design and construction projects is preferred.
