SUMMARY
As a Payroll & Talent Specialist, you will be responsible for accurately processing payroll transactions, ensuring compliance with relevant regulations and company policies, supporting the talent team with various activities and providing excellent customer service to employees. You will collaborate closely with the Talent Team, Benefits, Finance, and other stakeholders to ensure seamless payroll and talent operations. A successful Payroll & Talent Specialist should have the ability to handle moderately complex issues and problems while leaning on the support of senior level staff for more complex issues.
KEY OUTCOMES & RESPONSIBILITIES
Key Outcome: Accurate and timely processing of payroll in compliance with company policies and relevant regulations.
Key Responsibilities:
- Process payroll for all employees accurately and in a timely manner, including but not limited to salary, overtime, bonuses, and deductions.
- Validate timesheets, attendance records, and other relevant documents for accuracy.
- Act as the primary point of contact and coordinate with various departments to obtain necessary payroll information, resolve discrepancies efficiently, maintain accurate payroll records, analyze payroll data, and conduct regular audits prior to final submission.
- Respond to employee inquiries regarding payroll and develop resources and materials to educate employees, promote self-service and ensure company payroll policies are being adhered to.
- Coordinate with external payroll service providers or vendors (as needed) to ensure seamless integration, data accuracy, and timely delivery of payroll-related services, resolving issues or escalations as needed.
- Proactively monitor and interpret evolving payroll regulations, ensuring full compliance while mitigating risks and maintaining operational integrity.
- Provide input on agency payroll policies, and participate in payroll-related projects, system upgrades, and process enhancements to improve efficiency.
- Respond to all unemployment requests, employment verifications, and government withholding mandates in a timely manner, engaging internal partners as needed.
Key Outcome: Support the Talent Team with HCM maintenance, recruitment efforts, and employee lifecycle activities.
Key Responsibilities:
- Develop in-depth expertise in the HCM system and serve as a subject matter expert (SME) to provide comprehensive support to employees.
- Support the recruitment process by posting job openings, screening resumes, scheduling interviews, and managing communication with candidates to ensure a smooth and efficient hiring process.
- Assist with new hire orientation preparation and take ownership of completing new hire paperwork and accurately entering all required employee data into the HCM system, including personal and employment information.
- Manage HR Actions, such as promotions, transfers, job title changes, and salary adjustments, by updating HCM records accurately and promptly to reflect changes in employment status or job details.
- Execute the timely and accurate processing of employee terminations in the HCM system and prepare exit packages to ensure compliance with company policies and legal requirements.
- Assist in the preparation of talent and payroll reports and metrics.
Key Outcome: Collaboration with internal partners to ensure seamless coordination between payroll, talent, benefits, and finance.
Key Responsibilities:
- Collaborate with the internal partners to ensure alignment and accuracy between data transfer and processes.
- Assist in the administration of employee benefits, including enrollment, changes, and terminations as needed.
- Support Finance reporting and filing requirements, including yearly W2 audits, ensuring accuracy and timeliness.
- Participate in special projects related to payroll and benefits administration as assigned.
Other Responsibilities:
- Uphold strict confidentiality and data privacy standards when handling employee information, adhering to company policies and regulatory requirements to safeguard sensitive payroll data from unauthorized access or disclosure.
- Willingness to undertake additional duties and responsibilities beyond the scope of the primary role, as assigned by the supervisor or management, to contribute to the overall success of the team and organization.
Requirements
QUALIFICATIONS
REQUIRED QUALIFICATIONS –
- Bachelor’s degree in accounting, business, finance, or related field.
- 2+ years proven experience in payroll processing.
- Excellent attention to detail.
- Exceptional analytical, mathematical and calculation skills.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to work independently and on tight deadlines.
- Excellent written and verbal communication skills.
- Ability to work with a team.
- Knowledge of different types of HCM/payroll software.
- Knowledge of payroll, garnishments, and benefits distribution.
- Strong multitasking abilities.
- Good research and problem-solving skills.
PREFERRED QUALIFICATIONS
- 1+ years proven experience in an HR support role.
- Advanced knowledge of Excel.
- Experience in Benefits administration.
- Experience with Paylocity and UKG Ready.
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP)

COMPENSATION
Butler/Till is committed to providing pay transparency of our compensation philosophy and ensuring equitable pay practices for our employee owners. The compensation range for this position is $50,000 - $63,000 and represents the annual salary range in Rochester, NY. Base pay offered may vary depending on multiple individualized factors, including location, skills, and experience.
This is just one component of Butler/Till’s total compensation package for employee owners. The total compensation package for this position may also include other elements, including ESOP (employee stock ownership plan), an annual bonus, in addition to a full benefits package, and paid time off benefits, including 100% paid parental leave. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.
