Summary of Position:
Primary Project Admin responsibilities include non-architectural documentation of project progress and are to assist the project manager with the efficient administration of architectural projects in the design, permitting, and construction administration phases. Knowledge of Architecture and or Construction are helpful but not required, we will train for this position.
Key Core Duties Include:
Assist the Project Manager with key administrative tasks including but not limited to the following:
· Cash flow projection spreadsheet
· Preparation of the project’s invoice and coordination of consultant invoicing
· Log in to Newforma and distribute project publications, field observation reports, and other project materials
· Maintain and distribute the project directory. This includes keeping Newforma contacts up-to-date.
· Interface with Office Accounting system, company book-keeper function for invoices, payments and accounts receivable and accounts payable
· Create and manage the Table of Contents for major drawing issuances.
· Format specifications pulled from Deltek by the Project Manager and organize the supplement materials for major drawing issuances.
· Format contracts negotiated by Principal-in-Charge and ensure consultants are up to date with insurance policies in accordance with their contract.
· Coordinate consultant meetings.
· Assist with other tasks as assigned by the Project Manager
Job Requirements:
- Proficient with Excel and MS Word.
- Bachelor’s Degree
