Billing Associate

Overview:

This position will work primarily, though not exclusively, with the Alterman receivable’s function providing invoicing and billing support.

Essential Functions:

1. Processes and prepares customer invoices: 60%

Receives billing/invoice worksheets from Project Managers to be reviewed for accuracy.
Verifies worksheet details to the contract/PO/work order details from Owner/GC.
Prepares invoice in Spectrum/accounting software and emails to customer.
Prepares Facility invoicing that will be entered into Spectrum / accounting software and then entered in the customer’s online billing platform.

2. Assists Operations Accounting Coordinator: 5%

Assists with billing reports for Divisional Directors and PMs.
Assists with Accounts Receivable (AR) aging reports for the AR Collections Associate.
Assists with collections as requested.

3. Processes invoices and statements: 20%

Provides weekly invoices prepared to Operations Coordinator for posting.
Analyzes billing requests to process and produce invoices.
Prepares monthly statements and submits them to customers.

4. Provides customer service: 10%

Responds to billing inquires by Divisional Directors, and PMs, and customers.
Researches and responds to routine customer billing and billing statement inquiries.

5. Performs other duties as required. 5%

Education and Experience:

High school diploma or general education degree (GED) preferred.
One to three years related experience and/or training preferred.

Skills/Abilities:

Language Skills-Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills-Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.
Reasoning Ability-Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a basic variety of technical instructions in mathematical or diagram form and deal with basic abstract and concrete variables.
Computer Skills-To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software. Prior experience with accounting software is preferred.
Interpersonal Skills – Customer service skills required as well as the ability to work well in a team environment.

Work Environment:

Office environment.
Moderate noise level.

Physical Demands:

While performing the duties of this Job, the employee is regularly required to sit and use a computer; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. Specific vision abilities required by this job include close vision.
Must be able to lift up to 15 pounds at times.
