Summary

The Project Administrator provides comprehensive administrative and document control support for architectural and construction projects, partnering with project managers, principals, clients, consultants, and contractors to ensure projects run efficiently. This role is responsible for managing project documentation, coordinating meetings and communications, maintaining project data, supporting contract and closeout processes, and ensuring compliance with project procedures and quality standards. The ideal candidate is highly organized, detail-oriented, and experienced in supporting multiple complex projects in a fast-paced environment.

This position is located in our Los Angeles, CA office. The regular work schedule in the Los Angeles office is Monday through Thursday 7:30 a.m. to 5:30 p.m. and Friday from 7:30 a.m. to 4:30 p.m., with alternating Fridays off.

Responsibilities

Provide administrative and project coordination support for architecture and construction projects from design through project closeout.
Manage project documentation, including RFIs, submittals, change documents, agency communications, contracts, and document control processes.
Serve as a liaison between architects, project managers, clients, consultants, contractors, and regulatory agencies to support project delivery.
Coordinate project meetings, prepare meeting minutes, track action items, and maintain accurate project records and databases.
Support specification administration, contract setup, project closeouts, and adherence to firm standards, procedures, and quality requirements.
Assist with staff training, mentorship, and implementation of project administration best practices.

Requirements

7+ years of administrative experience, preferably supporting architecture, engineering, construction (AEC), or professional services projects.
Strong understanding of project administration, document control, and construction administration processes within an architecture firm environment.
Advanced proficiency in Microsoft Office Suite, Bluebeam, and project/construction management software.
Excellent organizational, communication, and multitasking skills with the ability to manage multiple projects simultaneously.
Detail-oriented professional with strong problem-solving abilities and a commitment to accuracy, deadlines, and client service.
Ability to build collaborative relationships with project teams, clients, consultants, contractors, and governing agencies.

The hourly range for this position is $52,858 - $76,698 annually ($25.41-$36.87/hour).

The actual offered salary for this position will vary depending on multiple factors including the candidate’s qualification, education, position knowledge, work experience, skills, ability, work location, and internal incumbent compensation for similar roles. We do not anticipate individuals hired into this position will start at or near the top half of the range listed; the decision will be based on each individual case. The salary range listed above does not include other compensation elements such as discretionary bonus opportunities, employee stock ownership grants, paid time off, medical insurance, and other wage and benefit opportunities.
