The Wyoming, MI branch with Churchill Mortgage is seeking a detail-oriented and proactive Part-Time Executive Assistant to provide support to the Branch Manager. This role involves managing day-to-day administrative tasks, coordinating office logistics, and acting as a liaison to corporate departments. The ideal candidate will have excellent organizational skills and the ability to manage multiple tasks in a fast-paced environment.

Basic Function
The Executive Assistant will report directly to the Branch Manager, supporting their daily activities and helping the office run smoothly. Responsibilities include scheduling, managing email communication, coordinating events, preparing light financial documents, and serving as the primary point of contact for various corporate departments. This is a part-time, in-office position.
Primary Responsibilities

- Scheduling & Calendar Management: Coordinate the Branch Manager’s appointments, meetings, and calls.
- Email Management: Monitor, organize, and manage the Branch Manager’s email inbox, ensuring timely responses and prioritization of important tasks.
- Office Logistics: Manage day-to-day office logistics, including ordering supplies, organizing meetings, and ensuring the office environment is functioning smoothly.
- Event Planning: Coordinate internal and external events, such as team meetings, client meetings, and other events hosted by the branch.
- Expense Reporting: Prepare and submit expense reports for the Branch Manager and other team members as needed.
- Document Preparation: Assist with light preparation of financial documents, reports, and presentations.
- Corporate Liaison: Act as a point of contact for corporate departments such as HR, marketing, compliance, and others to address and coordinate branch needs.
- Miscellaneous Tasks: Assist the Branch Manager with various ad hoc tasks to ensure operational efficiency.
Day-to-Day Activities
- Coordinate and manage the Branch Manager’s calendar to ensure all meetings and deadlines are appropriately scheduled.
- Organize and prioritize the Branch Manager’s email inbox, flagging urgent issues and ensuring follow-ups are completed.
- Plan and coordinate team meetings, office events, and external client meetings.
- Prepare expense reports in a timely manner and ensure all receipts and documentation are accurately submitted.
- Assist in the preparation and review of light financial documents and presentations as needed.
- Collaborate with corporate departments (HR, marketing, compliance, etc.) to ensure branch compliance with company standards and policies.
- Manage office supplies and coordinate with vendors to maintain a well-functioning office environment.
- Provide support with any other tasks that contribute to the smooth operation of the branch office.

Requirements:
- Experience in administrative support, preferably in a financial or corporate setting.
- Proficiency with office software, including email management, calendar tools, and Microsoft Office.

Compensation:
$18-$20 per hour. Position is for 20 hours per week
